Really tested. The prompts were tested with Claude Sonnet 5.5 on realistic cases and refined after testing. Below is the untouched result of the final test on October 21, 2026.

What's in the kit

  • Base prompt with the right tone: firm but polite
  • 8 ready situations: two payment reminders, complaint, saying no, raise, admitting a mistake, angry email, cancellation
  • Two versions of every email, softer and firmer

Preview of the first prompt

Help me write a difficult email. I want a specific result while keeping a good relationship with the person.

Who I am: [role, for example "freelance graphic designer", "sales employee"]
Who I am writing to and what our relationship is: [for example "client for two years, usually on time"]
What happened: [the facts, with dates and amounts]
What I want to achieve: [a concrete result, for example "payment by the 30th"]
What I can concede, if needed: [for example "payment in two installments", or "nothing"]
Language: [English (US) / English (UK) / other]

General rules:
1. Clear, specific subject line.
2. A useful first sentence: no "I hope this email finds you well" unless it is in my style.
3. One main request only and one deadline only (or one concrete next step). If you offer a concession (for example installments), present it as an alternative in one sentence or tie it to the same deadline, without setting a second date.
4. Firm but courteous tone. No blame, no sarcasm, no excessive apologies.

The test case (fictional people and companies)

Priya Nair, a freelance translator, needs to send a second reminder to Brightwave Media Ltd (contact: Tom Hargreaves), a client of eighteen months. Invoice INV-0042 for 1,860 pounds was due on 2 October, and the first reminder sent on 9 October got no reply. She wants payment by 31 October and concedes nothing. Language: English (UK). Base prompt with block B.

What the AI answered

Version 1 (softer)

Subject: Invoice INV-0042 (1,860 pounds): second reminder

Dear Tom,

I am writing again about invoice INV-0042 for 1,860 pounds, which was due on 2 October. I sent a first reminder on 9 October and have not received a reply.

Please arrange payment by 31 October. If payment is not received by then, we will consider the next steps, including late payment interest as provided by law.

Kind regards,
Priya Nair

Version 2 (firmer)

Subject: Second reminder: invoice INV-0042, payment due by 31 October

Dear Tom,

Invoice INV-0042 for 1,860 pounds was due on 2 October, and my reminder of 9 October has gone unanswered.

I need payment by 31 October. If payment is not received by that date, I will proceed with late payment interest as provided by law.

Kind regards,
Priya Nair

Which one I would use

I would use version 2: this is a second reminder and the first was ignored, so firmness is justified, and the wording stays polite given the eighteen-month relationship.

To check

Please verify the late payment interest (whether it applies, from when, and at what rate) before sending, and recheck the names, invoice number, amount and dates.
